What Belongs on a Professional Invoice
A professional invoice is a legally enforceable payment document. Every GST-registered business in India must issue a tax invoice containing: supplier GSTIN, buyer GSTIN (for B2B transactions), a sequential invoice number unique per financial year, invoice date, HSN/SAC code for each item, taxable value, applicable GST rate, and total amount. Non-GST businesses should still issue formal invoices for professional credibility and clean accounting records.
Best practices: use invoice numbers consistently (e.g., INV-FY25-001) so nothing gets skipped or duplicated; set clear payment terms (Net 7, Net 30, etc.) so clients know exactly when payment is due; include your bank account details or UPI ID directly on the invoice to remove friction from getting paid; and add late-payment terms upfront if that's part of your policy. Unpaid invoices are the single biggest cash-flow challenge for small businesses -- if clients routinely pay late, consider invoice factoring (selling invoices at a discount for immediate liquidity) as a stopgap.
